Creating an Estimate
Quick version: Go to Estimates, click "New Estimate," add your line items with quantities and prices, then save it as a draft.
How to create a new estimate
- Go to Estimates from the sidebar.
- Click the New Estimate button in the top right.
- Select the Customer from the dropdown. If you haven't added this customer yet, you'll need to add them first under Customers.
- Optionally select a Job to link the estimate to an existing job.
- Add your line items (see below).
- Set a Valid Until date. This defaults based on your business settings (usually 7 or 30 days out).
- Set your Tax Rate if applicable.
- Add any Notes or Terms & Conditions at the bottom.
- Click Create Estimate to save it as a draft.
Adding line items
Each line item has a description, quantity, and unit price. Fieldkit calculates the total for you.
- If you've set up services in your account, you can pick one from the Select Service dropdown. This fills in the description and a suggested price automatically.
- Or just type a custom description in the text box.
- Enter the Qty (quantity) and Unit Price.
- The line total updates automatically.
- Click Add Line Item to add more rows.
- Drag the grip handle on the left to reorder items.
Optional items
You can mark any line item as optional. Optional items are shown to the customer but are not included in the base price.
- Check the Optional checkbox next to any line item.
- Optional items appear in a separate "Optional Add-Ons" section on the estimate.
- The base price only includes required items. The customer can see what the total would be if they add the optional items.
This is useful for upselling services. For example, you might include a basic repair as required and offer an upgraded fixture as optional.
Tax settings
Enter your tax rate as a percentage in the Tax Rate field on the right side. Tax is calculated on the required items only (not optional add-ons).
Adding notes and terms
- Notes are visible to the customer. Use this for anything you want them to know, like project details or scheduling notes.
- Terms & Conditions appear at the bottom of the estimate. Fieldkit starts with a default, but you can edit it for each estimate. You can also set your default terms in Settings.
Saving as a draft
When you click Create Estimate, it saves as a draft. Drafts are not sent to the customer. You can review, edit, or delete a draft before sending it.
Tips
- You can create estimates without linking them to a job. This is useful when you're still in the quoting phase.
- If you select a service from the dropdown, the price suggestion uses your service catalog pricing adjusted for your region.
- Drag and drop line items to put the most important work at the top.
