Quick Start Guide

Quick version: Add a customer, create a job, send an estimate, get it approved, and send an invoice -- all in your first 5 minutes.

Your First 5 Minutes in Fieldkit

This guide gets you up and running fast. Follow these 5 steps and you'll have the basics down.

Step 1: Add Your First Customer

  1. From the dashboard, click New Customer.
  2. Enter the customer's name, phone number, and email.
  3. Add their address if you have it.
  4. Click Save.

That's it. You now have a customer in the system.

Step 2: Create a Job

  1. From the dashboard, click New Job.
  2. Select the customer you just added.
  3. Pick the service type (e.g., "Water Heater Repair").
  4. Add a description of the work if you want.
  5. Set a scheduled date or leave it unscheduled for now.
  6. Click Create Job.

Step 3: Create an Estimate

  1. From the dashboard, click New Estimate.
  2. Select the customer.
  3. Add line items for the work -- materials, labor, etc.
  4. Review the total.
  5. Click Save when it looks right.

Step 4: Send the Estimate

  1. Open the estimate you just created.
  2. Click Send.
  3. The customer gets an email with a link to view and sign the estimate.
  4. You'll be notified when they approve it.

Step 5: Send an Invoice

Once the job is done:

  1. From the dashboard, click New Invoice (or open the job and create an invoice from there).
  2. Select the customer.
  3. Add your line items or pull them from the estimate.
  4. Click Send.
  5. The customer gets an email with a link to view and pay online.

What's Next

Now that you've got the basics, here are some things to explore:

  • Schedule site visits -- Add specific dates and times to your jobs.
  • Invite your team -- Add employees or subcontractors from Settings > Team.
  • Set up text messaging -- Send appointment reminders and updates to customers.
  • Track payments -- See who's paid and who hasn't in the Billing section.
  • Check your reports -- See revenue, profitability, and more under Reports.

Tips

  • You can create an invoice directly from a completed job -- no need to re-enter the details.
  • Estimates can be converted to jobs with one click after the customer approves.
  • Use the "Needs Attention" section on your dashboard to stay on top of overdue invoices and unsigned estimates.
